2. What are the purposes of processing guests' personal data?
- In order to implement the contract concluded with us in the form of a registration/registration card, in particular:
- issuing the necessary documents for using our services (invoices, receipts) and making cash and non-cash payments;
- handling requests that are sent to us by phone or e-mail;
- our use of contact details for purposes related to the provision of services resulting from the concluded contract for the provision of services;
- handling complaints and complaints – if they are submitted;
- for tax and accounting purposes, as required by law.
- In accordance with the legally justified purpose of the Administrator:
- conduct direct marketing activities of own services and/or products. For this purpose, we will analyze shopping choices related to our business in order to offer services best suited to your expectations and preferences;
- maintaining customer relations;
- conducting statistical analyses;
- provide payment services;
- debt collection;
- data archiving to ensure accountability and compliance with legal obligations;
- collected by hotel monitoring in order to ensure the safety of all persons staying in the hotel;
- Pursuant to your consent:
- for data processing for marketing, commercial, answering inquiries, statistical, promotional purposes when organizing events, competitions, etc.;
- for data processing:

– newsletter service;
– contained in the registration/registration card;
– saved in cookies and collected from our website
– when signing up for organized loyalty programs, competitions and promotional campaigns;
– image-related.
3. What is the legal basis for personal data?
The legal basis for the processing of guest personal data obtained by ZŁOTA SOWA is the contract for the provision of hotel / catering services, i.e. booking a stay
The legal basis for the processing of guest’s personal data used for marketing purposes is the guest’s consent. ZŁOTA SOWA informs that consent may be withdrawn at any time. The withdrawal of consent does not affect the validity of the processing that took place before the consent was withdrawn.
The legal basis for the processing of the guest’s personal data by monitoring is the protection of his vital interests and the protection of the vital interests of other natural persons, as well as the justified purpose of the administrator.
4. Who can personal data be transferred to?
ZŁOTA SOWA transfers personal data to the following categories of entities:
- Companies providing IT support services ZŁOTA SOWA and providing IT software,
- Accounting companies providing accounting services,
- Transport and taxi companies, in the event of a guest ordering a transport or courier shipment,
- Legal firms (law firms) providing legal advisory and legal representation services.
- Offices in order to regulate the tourist tax
5. How long will personal data be processed?
Personal data:
- Obtained in connection with the concluded contract for the provision of hotel / catering services will be processed for the period of limitation of tax claims or civil law claims of ZŁOTA SOWA or a guest, whichever occurs later,
- Obtained on the basis of consent for marketing purposes will be processed for the period of validity of consent for marketing purposes,
- Obtained in connection with monitoring will be processed for 14 days from the date of recording, and then they will be permanently deleted (details in the information clause for visitors to the facility)
6. What are the rights of the guest in connection with the processing of personal data?*
Each visitor has the right to access personal data, rectify, delete or limit processing. In addition, each visitor has the right to object to the processing. Access to the data is possible at the headquarters of ZŁOTA SOWA. In addition, ZŁOTA SOWA provides the address ……………………….. through which you can contact about personal data.
7. What data do we process?
Providing your data is voluntary, but failure to provide it will prevent the conclusion of the contract and the use of services offered by the Data Administrator.
We require the following data:
- data collected on registration/registration cards: name, surname, series and ID card number, as well as contact details such as telephone number and / or email – for purposes related to the booking service, as well as the number of people, date of stay, type of room, preferences order or additional services. If you use the car park, you may additionally be asked to provide the vehicle registration number; Company data, name and address of the entity and NIP number to issue an invoice. In the case of a stay of persons under the age of 18, you may be asked to provide the minor’s details, such as: name and surname, nationality and date of birth. Such data can only be provided to us by an adult.
- data collected when booking by phone or e-mail: name, surname, telephone number and/or e-mail address, number of people, date of stay, type of room, ordering preferences or additional services;
- data collected when booking online via our website: name, surname, address of residence, country, telephone number and e-mail address and payment card details (name, surname, type of card, card number and card expiry date – month and year and security code CVV, as well as the number of people, date of stay, type of room, ordering preferences or additional services;
- data collected in the contact form: name, surname, e-mail address, telephone number, message content; data collected by group booking:
- Data of the entity (name, address, tax identification number) as the organizer, data of the contact person on the part of the organizer (name, surname, telephone number, e-mail address), data of the group supervisor (name, surname, telephone number, e-mail address – if it is a different person than the contact person from the organiser’s side) and the names and surnames of the group participants along with their document number, if any, depending on the type of the concluded agreement;
- data collected when ordering an event: name, surname, series and number of ID card, contact details (telephone number, e-mail address), address of residence, number of event participants, date of service.
- data obtained from third parties: from travel agencies, travel agencies, booking systems and others, in which you have provided your data for the purpose of using the service offered by us;
8. Is it possible to lodge a complaint in connection with the processing of personal data?*
Yes, each guest has the right to lodge a complaint with the supervisory body, which is the Inspector General for Personal Data Protection, ul. Stawki 2 00-193 Warszawa.
9. Will the ZŁOTA SOWA transfer personal data outside the EEA?*
Providing personal data in terms of name and surname and address of residence is a requirement to conclude a contract for hotel services. Failure to provide personal data will prevent the ZŁOTA SOWA from concluding the contract
10. Are automated decisions made based on personal data, including profiling?*
No. ZŁOTA SOWA does not make automated decisions based on personal data, including profiling. Historical personal data is used for profiling, which the ZŁOTA SOWA obtained in connection with the provision of hotel services to the guest.
